Accounting and Human Resources Associate

Reporting to: Director of Finance / Director of Human Resources

Mission of position: To strengthen the connection between human resources, payroll, and accounting by identifying, creating and implementing efficient systems across all platforms.

Qualifications:

Bachelor’s degree (or equivalent) required; BA or BS in accounting, finance and/or human resources, preferred. Three to five years of work experience in payroll and/or human resources management for a non-profit is preferred. Proficiency in Microsoft Office applications (Excel, Word, etc.) and an understanding of a GAAP is required.

The Accounting and Human Resources Associate will be a thought creator with exceptional organizational, time management and people skills. The person in this position must be detail oriented and reliable. They will be efficient and set clear expectations, with the understanding that all responsibilities of the job affect one another. Finally, the Accounting and Human Resources Associate should possess strong decision-making skills and sound judgment to be effective in problem solving and conflict resolution.

Principle responsibilities include but are not limited to:

Human Resources

  • Implement and maintain Human Resources database
  • Serve as point of contact with benefit vendors and third party administrators
  • Participate and assist with annual open enrollment and benefits renewal
  • Assist Human Resources Director with new staff orientation and onboarding processes
  • Reconcile all employee changes across payroll and benefits platforms/systems
  • Research and follow federal and state labor law changes

Payroll

  • Update payroll changes workbook and prepare for bi-weekly payroll processing
  • Prepare bi-weekly payroll in ADP and submits to Director of Finance for review
  • Maintains employee timesheets and tracks accruals
  • Researches and resolves payroll discrepancies

Accounting & Audit

  • Prepares bi-weekly payroll journal entries
  • Prepares quarterly payroll accrual entries and adjustments
  • Prepare schedules and supporting documents for the annual audit

Compliance

  • Prepares annual 5500 filing, W2 and ACA reporting
  • Prepares year-end payroll checklist in ADP
  • Prepare and submit quarterly unemployment reports and other Human Resources reports as required
  • Confirm quarterly 941 and payroll tax filing
  • Prepare employer’s quarterly retirement contribution and ensures bi-weekly remittance of employee contributions per IRS guidelines
  • Prepares quarterly DBF and PFL leave calculations and reconciles employee claims
  • Assists with workers’ compensation audit

Other

  • Backup to Executive Assistant for general matters (all members of the team share this responsibility)

Compensation: Full Time, with competitive salary and benefits. Salary range $60,000 – $65,000 commensurate with experience.
