Administrative Assistant to the Advocacy and Science Teams

Reporting to: Director of Government Relations and Public Policy

Mission of Position: Provide administrative and organizational support to the Director of Government Relations and Public Policy, the Director of Legal Affairs and Environmental Advocacy, the Director of Land Use Advocacy, and the Director of Science, Climate and Stewardship.

Qualifications:

  • Bachelors or Associates degree preferred or equivalent experience
  • 3-5 years prior experience in related position
  • Strong organizational and systems-thinking skills
  • Excellent attention to detail and written/verbal communication skills
  • Ability to manage multiple, competing priorities and to meet deadlines
  • Strong working knowledge of editing, proofreading and formatting legal, regulatory and legislative documents
  • Strong discretion and confidentiality with regard to sensitive organizational and community issues
  • Sensitivity working in an administrative capacity with people from diverse backgrounds and experiences
  • General familiarity with legal, and local, state and federal government processes preferred
  • Highly skilled in MS Word Suite and Adobe Acrobat
  • Knowledge of Asana project management software and Slack preferred
  • Team player and strong professional outlook
  • Interest in and passion for environmental issues in the Hudson Valley
  • Occasional travel to New York City, Albany, and local communities
  • Ability to lift 30+ pounds
  • Demonstrated experience and/or interest in advancing environmental justice issues is greatly valued.

Principle Responsibilities May Include:

Records Maintenance and Systems

  • Develop and implement filing systems; copying, scanning, binding and packaging documents 
  • Supports Director of Government Relations and other team members in keeping records and generating monthly reports on lobbying activities in accordance with New York State’s Joint Commission on Public Ethics 
  • Takes minutes for Advocacy Committee, Legal Affairs Committee, Government Relations Committee and Science Committee of Scenic Hudson’s Board of Directors 
  • Collects discussion topics for internal and external meetings and prepares agendas 
  • Data entry to support research activities and project management 

Scheduling

  • Coordinates schedules for the Director of Government Relations and Public Policy, Director of Legal Affairs and Environmental Advocacy, Director of Land Use Advocacy and Director of Science, Climate and Stewardship 
  • Schedules and coordinates group meetings and appointments – in person and remote – for the Advocacy and Science Teams
  • Collects discussion topics for meetings, prepares agendas and organizes background information and materials 
  • Books travel arrangements 
  • Reserves meeting and event spaces and applies for related permits 

Proofreading, editing and formatting

  • Proofreads, edits and formats documents, including legal documents, legislative testimonies, scientific reports, and other letters and reports
  • Facilitates internal review of documents letters and reports
  • Coordinates updates and improvements to departmental web pages


Human Resources

  • Supports management of departmental volunteers and interns
  • Coordinates engagement with Scenic Hudson’s professional consultants on behalf of the Director of Government Relations and Public Policy, Director of Legal Affairs and Environmental Advocacy, the Director of Land Use Advocacy, and the Director of Science, Climate and Stewardship
  • Support team members as needed with license/certification records, and attending professional development trainings and events

Communications and Public Engagement

  • Fields telephone calls, emails and inquires through social media from members of the public and public officials; directs to appropriate staff member and/or manages response 
  • Interfaces with members of the public over the telephone, and at in-person and on-line events, fields questions and directs inquires 
  • Coordinates review process for letters of support requests coming from outside the organization 
  • Administrative coordination and support of mailings, faxes and email communication 
  • Liaisons with Scenic Hudson’s Strategic Engagement Team 

Technology and Procurement 

  • Orders office supplies and maintains supply stock 
  • Coordinates requests for office equipment, needed repairs and IT support 
  • Tracks Advocacy and Science Teams budget expenses 
  • Processes check requests and expense reimbursements 
  • Assists in providing technical and logistical support for public events, webinars and on-line gatherings 
  • Provides first-line of review of contracts for professional services required by the team 

General 

  • Ability to lift 30+ pounds 
  • Occasional travel to NYC, state capital, and local communities to support team activities and public events 
  • Works collaboratively with other administrative assistants across the organization to ensure the efficient functioning of the organization 
  • Assists with ongoing general fundraising activities and performs other related duties as assigned 

Compensation: Full time, hourly position with a range of $24.72 – $25.83, commensurate with experience and a highly competitive benefits program.
